Our Privacy Policy

Last updated: 04 August 2025

Reconnecting Rainbows Press believes in fairness, transparency, and treating everyone with dignity — including when it comes to your data. This privacy policy explains what we collect, why we collect it, and what we do with it. No legalese, just the facts.

1. Who We Are

Reconnecting Rainbows Press is a UK-based independent publisher amplifying LGBTQIA+ voices through books, workshops, and events. We are the “data controller” for the purposes of the UK General Data Protection Regulation (UK GDPR).

If you have any questions, you can email data (at) reconnectingrainbows.co.uk

2. What Data We Collect

We only collect personal data when we truly need it. This includes:

  • Contact Form Submissions: If you send us a message via our website, we collect your name, email address, and whatever you write to us.
  • Submission Forms: If you submit work to us (e.g., for an anthology or publication call), we’ll collect your name, contact details, and the content of your submission.
  • Author Tools: If you are one of our authors or contributors under contract, we may collect other necessary information as part of our publishing relationship. This is covered separately in your contract.

We do not use tracking cookies, create user accounts, or collect demographic data like age, gender, or ethnicity on the general public side of the site.

3. Why We Collect It

We only collect data to:

  • Respond to your messages and questions
  • Process and review submissions
  • Manage our publishing operations and author relationships
  • Improve our services and stay connected with our community

We don’t sell, rent, or trade your personal information. Ever.

4. Lawful Basis

Under the UK GDPR, we process your personal data on one or more of the following bases:

  • Consent: You’ve given us permission (e.g., submitting a form or signing up to contact us).
  • Contractual necessity: If you’re an author or contributor with an agreement in place.
  • Legitimate interests: For communication, community engagement, and running the day-to-day operations of the press.

5. How Long We Keep It

We don’t hold onto your information forever. We retain:

  • Contact form data: up to 12 months
  • Submission data: up to 24 months (unless included in a published work or under contract)
  • Author data: as per individual contracts

If you’d like us to delete your data earlier, just let us know.

6. Your Rights

You have the right to:

  • Access your data
  • Correct your data
  • Ask us to delete your data
  • Restrict or object to processing
  • Lodge a complaint with the Information Commissioner’s Office (ICO)

You can contact us anytime about your data by emailing data (at) reconnectingrainbows.co.uk

7. Third Parties

We only share your data with third parties when absolutely necessary, such as:

  • Email or cloud service providers (e.g., if you email us or upload a submission via a form)
  • Publishing tools and printers, for contracted authors
  • Legal or regulatory authorities, if required by law

All partners are GDPR-compliant or under similar protective frameworks.

8. Security

We do our best to protect your data using secure tools, password-protected systems, and limited access. No system is 100% perfect, but we treat your data with care and respect.

9. Changes to This Policy

If we update this policy, we’ll post the new version on our website and update the date at the top. If major changes happen, we’ll let you know directly where possible.
